AI that answers customers / job guide
AI receptionist software: six options for answering your business line
The software handles
Answers calls to your business number, answers common questions, takes messages, books appointments and routes callers to the right person.
Where people stay involved
Someone still takes the transferred calls and follows up on messages; you decide which calls must reach a person and what the AI may promise.
Short answer. For a small business that misses calls, the deciding questions are how the AI hands a caller to a person and whether it can book into your calendar on the plan you would buy. Upfirst and Dialzara are strong on transfer rules, My AI Front Desk on texting and CRM links, Rosie on simple minute-based plans, and RingCentral AI Receptionist if you already run RingCentral phones.
Check these before you choose
- Transfer rules. Check whether transfers are warm (the person hears who is calling and why), whether it tries several people in order, and whether that is on the plan you are pricing.
- Calendar booking. Several products only book directly on higher plans and send a booking link by text on lower ones. Check your calendar or practice system is supported.
- Keep your number. Most work by forwarding your existing number, all calls or only unanswered ones. Decide whether the AI answers first or catches overflow.
- Languages. Vendor pages often disagree. If Spanish or another language matters, test it before relying on it.
- Billing unit. Plans are usually bundles of minutes or calls. Estimate your monthly call minutes before comparing.
Recommended by situation
Detailed transfer and booking rules
Upfirst
Upfirst routes by topic, person or department, transfers warm and rings people in order, and books into Google, Outlook, Calendly, Acuity, Clio or Square calendars.
Trade-off: Entry pricing is per call, so busy lines need a higher plan; rescheduling support is described inconsistently across its pages.
Calls plus texting and CRM
My AI Front Desk
It answers calls and texts, texts back missed callers, books during the call and names HubSpot and Salesforce among its CRM connections.
Trade-off: Language counts and integration numbers vary across its own pages; confirm what your plan includes.
Many languages and flexible numbers
Dialzara
Forward or port your number or take a new one; automatic language detection across 10+ languages; warm transfers and after-hours rules from the Pro plan.
Trade-off: Blind transfer only on the entry plan, and CRM links run through Make, Zapier or API.
Simplest minute-based plans
Rosie
Clear plans sized by minutes, with conditional forwarding so Rosie can cover only after-hours or overflow calls.
Trade-off: Direct calendar booking and warm transfers start on the Scale plan; lower plans text a booking link instead.
Already on RingCentral phones
RingCentral AI Receptionist
RingCentral AI Receptionist routes by name, department, location or context, passes a call summary to whoever picks up, and can act as overflow inside a RingCentral call queue.
Trade-off: Best value only if your phone system is RingCentral.
Lead capture behind your existing line
Goodcall
Goodcall sits behind your existing number, catches no-answer and busy calls, tries up to three people, and sends leads by text and email with Google Sheets and HighLevel connections.
Trade-off: Its own pages disagree on supported languages (English only on an older page, English and Spanish on a newer one).

How to try one without risk
Most of these products work by call forwarding, so you can start with overflow only: forward calls you do not answer within a few rings, keep your own staff as the first line, and read the transcripts for a week. Write down the five questions callers ask most and give the AI exact answers for those. Decide which call types must always reach a person (complaints, urgent jobs, existing customers) and set transfer rules for them before you let the AI answer first.
