AI that answers customers / job guide
AI vs human answering services: which one should pick up your calls?
The software handles
Answers your calls when you cannot, either with live receptionists, with an AI, or with an AI backed by people.
Where people stay involved
With a human service, trained receptionists follow your script; with AI, you write the script and handle the exceptions it passes on.
Short answer. Use AI when most calls are routine (hours, bookings, messages) and volume or after-hours coverage is the problem. Use people when callers are upset, need judgement or are high-value prospects. Hybrid services such as Smith.ai and Abby Connect let you start with AI and keep a person behind it; Ruby, PATLive and AnswerConnect are the established human options.
Check these before you choose
- Call type. Routine calls suit AI; emotional, complex or high-value calls are where live receptionists earn their cost.
- Coverage hours. Check whether bilingual or after-hours coverage has the same hours as English daytime coverage; PATLive, for example, lists Spanish from 8am to 10pm ET.
- Billing unit. Human services bill by receptionist minutes or calls; AI minutes are usually cheaper. Abby Connect bills AI minutes at half a human minute.
- Escalation path. For AI, ask what happens when it cannot help: transfer to you, human backup at the service, or a message.
- Contracts and trials. Several services are month-to-month with trials; check notice periods before switching.
Recommended by situation
AI first, people when needed
Smith.ai
Smith.ai offers an AI receptionist, live North America-based receptionists, or both, with the AI passing calls to live staff when a person is needed.
Trade-off: Plans are billed per call and extended intake questions cost extra per call.
A dedicated human team with an AI option
Abby Connect
Abby Connect assigns a team of 5–10 US-based receptionists and lets you use AI, people or both under one subscription, with Spanish and 24/7 coverage.
Trade-off: Minute-based plans; AI and human minutes are counted differently, so model your mix.
Established live receptionists
Ruby
Ruby’s live virtual receptionists are billed by monthly minutes, with scheduling, bilingual answering and intake available and chat as an add-on.
Trade-off: A human-only service costs more per minute than AI for routine calls.
Live answering without a contract
PATLive
PATLive offers US-based receptionists with no contracts, a 14-day trial and live Spanish answering during set hours.
Trade-off: Spanish coverage is not 24/7, and pages disagree on whether bilingual service costs extra.
Deliberately no AI
AnswerConnect
AnswerConnect markets human-only answering with remote US-based receptionists, 24/7, after-hours or overflow coverage, and a HIPAA mode for healthcare.
Trade-off: No AI option to lower routine-call costs; HIPAA mode disables call recording.
AI only, lowest friction
Goodcall
Goodcall answers behind your existing number, captures leads and transfers to up to three people, which suits routine and after-hours calls.
Trade-off: No human backup at the service; you are the escalation path.

A practical split
Many businesses do not need to choose one model for every call. A common pattern is AI for after-hours and overflow, people during business hours, and a rule that existing clients or urgent calls always reach a person. Hybrid services package that split; with an AI-only product you build it with forwarding rules.
Questions to ask any service
- Who answers in my language, and during which hours?
- What exactly is billed: talk time, after-call work, or calls?
- How are messages delivered, and can calls be logged into my CRM or practice system?
- What happens on public holidays and during call spikes?
